The Challenge
Before Packlink, field professionals visiting plants, suppliers, and testing sites faced constant challenges in communication and reporting.
Information was scattered across emails, spreadsheets, and chat apps, making it difficult to track progress or share updates efficiently.
Reports were often delayed, and teams lacked a centralized space to upload photos, notes, or expenses while traveling — especially in areas with limited connectivity.
These issues resulted in missed opportunities for collaboration, scattered communication, lack of real-time visibility, and manual expense tracking — slowing down decision-making and reducing overall operational efficiency.
The new platform needed to:
-
Centralize communication so teams could share reports, photos, and updates from anywhere — reducing dependency on emails and chat apps.
-
Enable offline functionality to ensure users could continue logging information even in remote locations with poor connectivity.
-
Simplify reporting workflows with fast, intuitive forms for recording trip details, notes, and expenses.
-
Improve real-time visibility for supervisors by automatically syncing field data and progress once online.
-
Streamline expense tracking to prevent data loss and speed up pre-approval before integration with ERP tools like Ariba.

The Solution
The Packlink concept introduces a unified, mobile-first tool designed to simplify how traveling professionals record, share, and manage field information.
Built around user needs in real operational environments, it integrates reporting, expense tracking, and team communication into one streamlined experience — even in areas with limited connectivity.
The new platform is designed to:
-
Simplify field reporting through quick-entry forms that allow users to log activities, add notes, and attach photos or videos directly from their mobile device.
-
Enable offline functionality so users can continue working seamlessly, with all data syncing automatically once connected to the internet.
-
Enhance real-time collaboration by centralizing updates, expenses, and trip details in a shared feed accessible to all stakeholders.
-
Increase visibility and accountability for managers through synced dashboards, status tracking, and role-based notifications.
By merging functionality with intuitive design, Packlink transforms complex travel coordination into a connected, efficient, and reliable digital experience — empowering teams to focus on results instead of logistics.

Key Features
A platform that feels intuitive, reliable, and field-ready.
The Packlink concept focuses on efficiency, usability, and real-time collaboration between on-site professionals and management teams.
Key highlights include:
📋 Trip & Activity Log — Plan, document, and review on-site visits from your phone. Attach photos, notes, and checklists — all synced automatically once connected. The feature also shares real-time location updates to ensure traveler safety during field operations.
💬 Quick Reports — Instantly share short updates, findings, or videos with your team to improve visibility and reduce communication delays.
💰 Expense Tracker — Capture receipts and log expenses on the go. The app categorizes costs automatically and secures offline data until synced.
🔄 Offline Sync Engine — Work seamlessly in areas without internet. All entries are stored locally and synchronized in real time once the connection is restored.
🧭 Dashboard & Analytics — A management-friendly view that summarizes activities, expenses, and field performance for smarter, faster decisions.
Storyboard

The storyboard illustrates how different users — from field operators to managers — interact with the new Packlink system.
Each scene showcases a key feature that simplifies daily operations: from planning and logging activities, to sharing reports, tracking expenses, and working offline — all within an intuitive interface designed to boost efficiency and collaboration across teams.
The Process

Research
Objective
The research aimed to understand how traveling professionals manage daily operations while visiting plants, suppliers, and testing facilities — and the challenges they face when documenting, reporting, or staying connected on the go.
Methods
A combination of secondary research and internal feedback sessions was conducted to identify workflow inefficiencies and communication gaps.
-
Benchmarked mobile productivity and reporting tools.
-
Reviewed internal reports from operations and quality teams to analyze existing reporting methods.
-
Collected informal feedback from supervisors and field engineers to validate user pain points.
Key Insights
-
Connectivity barriers: Many users struggled to upload reports or photos due to poor signal in remote locations.
-
Redundant reporting: Multiple tools and spreadsheets caused data duplication and confusion.
-
Low visibility: Managers had limited access to real-time updates from field teams.
-
Manual expense tracking: Most users relied on separate documents or messages to log costs.
-
Need for simplification: A unified tool with offline access and automatic syncing would reduce friction and improve collaboration.
Outcome
The research revealed the need for a single, mobile-first platform to consolidate communication, task tracking, and reporting — forming the foundation for the Packlink app concept.
“When I visit different suppliers, I lose a lot of time collecting data in separate reports. If I could log everything from my phone — photos, notes, and results — it would save hours every week.”
- Andrés L., 34, Packaging Engineer
“Quality inspections depend on timing. Sometimes I can’t upload photos or findings until I’m back online, and that delays corrective actions. An app that works offline would make a big difference.”
- Pablo M., 36, QA Inspector
“Managing multiple teams across locations is tough when updates arrive by email or chat. A centralized feed with reports and expenses in real time would give me real visibility of what’s happening.”
- Santa Mónica C., 46, Packaging Engineering Manager
The Synthesis
Synthesis
We began the synthesis phase using Affinity Mapping to cluster insights gathered from internal feedback, workflow analysis, and secondary research.
Through this process, we identified recurring patterns in how field teams report information, manage communication, and handle tasks while traveling between sites.
The data revealed consistent friction points and behavioral themes that guided the design of Packlink — focusing on efficiency, clarity, and reliability in low-connectivity environments.
After several refinement sessions, four key insight areas emerged to define the product direction.
Key Themes Identified
Operational Visibility
Managers need access to real-time updates from the field to make faster, data-driven decisions.
→ Solution: introduce synchronized dashboards and status tracking per user role.
Offline Reliability
Connectivity gaps caused delays and inconsistent data reporting.
→ Solution: enable offline access with automatic syncing once reconnected.
Simplified Reporting
Users found traditional reporting tools slow and fragmented.
→ Solution: streamline inputs — allowing photos, notes, and expenses in a single form.
Cross-Team Collaboration
Teams struggled with multiple channels and redundant updates.
→ Solution: integrate a shared activity feed for communication and task coordination.
Outcome
This synthesis phase defined Packlink’s product foundation — a mobile-first tool built for clarity, continuity, and teamwork.
The resulting insights established a clear design direction, ensuring every interaction supports productivity in real-world field conditions.
